Privacy policy
What personal data is collected when you book a consultation, why, who else handles it, and how to exercise your rights.
Who is responsible
The controller of your personal data is Giovanni Ventilii (Gio Robotics), independent professional consultant. Contact: support@giorobotics.com.
What data is collected
- Booking data: name, email address, company (if you give it), your answers in the booking form (for example robot model and a description of the problem), your time zone and the booking time.
- Files and links you share: photos, videos, screenshots, program backups, log exports and similar material.
- Video call: what you show during the call, such as camera and screen sharing. Calls are not recorded unless we both agree beforehand.
- Payment data: the PayPal transaction details (name, email, amount, date, transaction ID, country). Card details are processed by PayPal and are never seen by me.
- Correspondence: emails you send and their attachments.
- Website visits: this website sets no cookies and uses no analytics. The hosting provider processes technical data (IP address, browser type, requested page) to deliver the site, including the small server function that looks up free booking times, and to protect it from abuse.
The booking form and the proposed times
- Proposed times. The HIWIN robot support page shows the next free times. Your browser asks this website for them (giorobotics.com/api/slots), and the website’s server then asks Cal.com, sending only the event type and your time zone. Your IP address and the answers you type are not passed to Cal.com at this step.
- Booking form. The booking form itself is provided by Cal.com. It is loaded from Cal.com’s servers only when you pick a time or open the full calendar, or when you continue to the booking page on cal.com. At that moment, the robot type, problem type and description you entered on this page are passed to Cal.com in the address of the booking form, so that the form opens already filled in.
- Cal.com may set cookies or use similar storage needed for the booking to work. Its use is covered by Cal.com’s own privacy policy. If you prefer not to load it, you can book by email instead.
Why the data is used
| Purpose | Legal basis (GDPR) |
|---|---|
| Delivering the consultation you booked, communicating about it, preparing quotes for follow-up work | Performance of a contract, Art. 6(1)(b) |
| Issuing receipts and keeping accounting and tax records | Legal obligation, Art. 6(1)© |
| Keeping the website and services secure, handling disputes | Legitimate interests, Art. 6(1)(f) |
| Occasional news or offers by email | Only with your consent, Art. 6(1)(a), which you can withdraw at any time |
There is no marketing without your consent, and your data is never sold.
Service providers
To run the service I use these providers, who process data on my behalf or as independent controllers for their part:
- Cal.com, Inc. (scheduling and booking pages), United States.
- PayPal (payments), for European customers PayPal (Europe) S.à r.l. et Cie, S.C.A., Luxembourg; elsewhere the PayPal entity of your region.
- Google (Google Calendar for scheduling, Google Meet for video calls), Google Ireland Limited and Google LLC.
- Cloudflare, Inc. (website hosting and delivery, including the function that looks up free booking times), United States.
- My email provider, for messages sent to support@giorobotics.com.
International transfers
I work from Taiwan and Italy, and the providers above operate servers in several countries, including the United States. Your data may therefore be processed outside your country. Where the GDPR applies, transfers rely on adequacy decisions (such as the EU–US Data Privacy Framework for certified providers), on standard contractual clauses offered by the providers, or, where necessary, on the need to perform the contract you requested.
How long data is kept
- Booking data and correspondence: as long as needed for the service and any follow-up, then deleted within 24 months of our last contact.
- Files, programs and backups you share: deleted within 90 days of the session, unless you ask me to keep them for follow-up work, or earlier if you ask.
- Receipts and accounting records: for as long as tax law requires (in Italy, up to 10 years).
Your rights
- Under the GDPR (EU/EEA; similar rights apply in the UK and Switzerland): access, rectification, erasure, restriction, portability, objection, and withdrawal of consent at any time. You can also lodge a complaint with a supervisory authority, such as the Italian Garante per la protezione dei dati personali or the authority in your country.
- Under Taiwan’s Personal Data Protection Act: to inquire about and review your data, to request a copy, to supplement or correct it, to request that its collection, processing or use stop, and to request its deletion.
To exercise any right, email support@giorobotics.com. You will get a reply within one month.
Security
I take reasonable technical and organisational measures to protect your data. Please do not send passwords or access credentials by email: remote access, when needed, is shared during the call and ended afterwards.
Children
The service is for businesses and professionals and is not directed at children.
Changes
If this policy changes, the new version is published on this page with a new date.
